What is Smartsheet?

Smartsheet is an online project management and collaboration tool from Smartsheet.inc in Bellevue, Washington. The software has a characteristic spreadsheet like interface but contains the full panoply of features expected of project management and collaboration software, such as automated alerts, instantaneous updating and sharing across team members, resource management facilitating budgeting and task allocation, nested tasks organized in a hierarchy, a Gantt chart view, the ready production of exportable reports (e.g. Excel), and integration with email. Across spreadsheets cells can be linked allowing the creation of master spreadsheets that provide ready summaries or automated reports. Smartsheet's capabilities can be expanded with a multitude of apps (e.g. Dropbox, Google Apps) or integrated into combinatory solutions (e.g. with Salesforce) to tailor fit business needs. It supports full mobile access.

Three tiers cover Smartsheet's pricing options. The Basic level provides core features for small groups of individuals, while the Team level is recommended for groups of up to 50 people and supports more user features, allows multiple sheet creators, and has reporting functions. The Enterprise level is a custom fit tier for groups of greater than 50 individuals or companies, and may include dedicated support personnel if desired.

I use Smartsheet very often. Whenever I would have traditionally used Excel, instead I now use Smartsheet as my go-to application whenever I need to make a spreadsheet. The best thing about Smartsheet for me is that it is a collaborative tool. It is veyr nice to be able to leave comments, and make edits on a live document that is shared with my peers.

  • Ability to leave comments and chat with your teammates
  • More features. The more Smartsheet can mirror the capabilities of excel the better. Not saying it needs pivot tables but the ability to have more customization would be nice
  • a better card / board view would be nice. More features to make it more useful. Or atleast make the board view a standard view rather than 'preview'. Would also be nice if I could set board view as the default view for everyone
  • More templates for common business cases for different types of companies would be amazing. Would love some templates for product management
Smartsheet in my opinion is well suited for any Excel-based project where you need to share that document with multiple teammates and the document requires a lot of editing and updating. Any scenario where you need to do extensive calculations and making of picot tables, to my knowledge Smartsheet does not have such capabilities for advance calculations and data manipulation

Smartsheet in our company is used as an alternative to typical Spreadsheets because employees can save a lot of time by using automation to collaborate with other employees. Every department that is using Smartsheet replicates their typical manual processes into automation provided by Smartsheet. To create Automation no coding skills are required, so employees feel empowered to create their own solutions and save a lot of time on repetitive tasks.
  • Document Builder - e.g. all the contracts are generated automatically with data from Smartsheet.
  • Ticketing Systems - using forms we can create tickets that are automatically assigned to preferred people.
  • Request for update - if we need to have updated data in some cells but we do not want to share the entire sheet with someone, we can send a form just to update the data in rows.
  • The community of Smartsheet is amazing if there are any questions or problems the community is eager to help.
  • With the paid license you get access to Smartsheet University.
  • Some of the basic functionalities that were part of the business licenses are moved to enterprise licenses, so in our company we can't use them anymore.
  • Additional features like Pivot Table etc., need to be purchased extra
  • Smartsheet is sometimes bit too pushy to buy new licenses or go to Advanced Model
I am an advanced user of Smartsheet, so I help create solutions for different departments based on their business needs. In general, Smartsheet is considered as Project Management Tool, but this part of Smartsheet is only the tip of the iceberg. What I love about Smartsheet is that whatever requirements from businesses are coming we can fulfil them with basic smartsheet functionality.

We use Smartsheet to record and report on all of the services provided by our organization. We are grant funded and so we need to report to our granters in very specific ways. Smartsheet allowed us to build a really complex and robust array of functions and reports to fulfill this need. We have 30 people using the software, and everything is text-based entries or attachments.

  • The connections between sheets are a really big hassle

Will probably be a waste of money and time, just use Excel. Would not recommend it for what we are using it for, it is the wrong tool for grant reporting or most kinds of reporting. I would recommend it to people wanting to trick people into using Excel over Word documents, or just for keeping company data in one nicely searchable place. Good for really non-tech savvy users who know how to do basic data entry into Excel.

Smartsheet is used by our Project Management team to manage our project plans for our many clients. Smartsheet's easy-to-use UI will instantly feel familiar to anyone who has used MS Excel or any similar database tools. This interface allows new users to easily dive right in, without relying on tutorials like some of the other leading PM tools in the marketplace that are less intuitive and perhaps even overly-complex. I track project plans down to the task level in Smartsheet, and all of our project budgets are managed within the tool itself, as well.

  • Parent / Child relationships at the 'sub-task' level could be easier to use. Sometimes i have issues 'rolling-up' data / numbers when I get below one level or two of sub-tasks. However it may just be user-error, as I have not had the time to investigate further or reference user manuals or tutorials.
  • Nothing else. Smartsheet works quite well and does not leave much to be desired.
Smartsheets is very well suited for building and managing project plans, no matter how simple or complex they are. Budgets are easily managed and maintained, as are scheduling dates and assigning users 'action items' and permissions, with cell-level security features available out of the box.

Smartsheets is well suited for collaboration. Multiple users, if given admin or editor privileges have the ability to make changes at once, avoiding issues that often can materialize regarding versioning errors typical, as a result of multiple authors or editors.

For project managers, smartsheets has multiple 'views' available, which can come in handy depending on your specific purpose. For those interested in seeing all of the details, the standard view is a table/spreadsheet type of view. For a more agile approach, or a simplified user view, their 'task-list' type view can help to easily view in a card-type of format and classify those tasks that have been 'completed' versus 'in-progress' , 'in qa' or other relevant category / classification. Other views include the Gannt chart view, which is helpful for seeing things in a calendar-like view, helpful in showcasing things like dependencies.

Overall it's a decent app. We found quite a bit of an issue trying to use their gaant template when it comes to functionality and what this tool can and can't do. Some aspects of this tool are limited (even to the more advanced accounts). Their support agents were not able to help us when it came to templates.

Currently being used sporadically in place of MS Project. Especially useful for team members not familiar with building a project plan but need to organize and assign task to multiple team members. Our Organization is currently in the process of maturing and while we don’t have the technical skills to develop thorough plans we are moving in that direction and Smartsheet is really intuitive and helpful in that way.

We primarily turned to Smartsheet as a way to manage our projects using a familiar interface to Microsoft Excel. A number of users in the organization were proficient with Excel and we wanted a tool that would allow us to be able to have some familiarity of Microsoft Excel but also gave us the flexibility to customize it to our liking. We were able to tackle the early learning curve with this approach and achieved a good adoption rate across the staff whom the tool was deployed to.
  • Its hard to overstate the value of familiarity. Being able to use a tool that has some familiarity takes away the time needed to train and orient employees on a new tool and allows an organization to hit the ground running.
  • Smartsheet covers most of the basics of a project management tool, the usual tasks, milestones and project viewing options.
  • For data viewing, you get multiple data viewing options including a calendar view (good for marketing teams and those who work around scheduling), Kanban, Gaant etc
  • Smartsheet can feel like a clone of Microsoft Office especially with 365 being a valuable option for most businesses, in this regard it is hard to justify the separate cost for it.
  • Zapier is available for outside integration but you have to pay to use it, it would be good if some integrations were built into Smartsheet itself.
For teams and users who are very familiar with Excel and its mode of operation, Smartsheet will feel like a walkover. If you have a number of users who use Excel or Google Sheets for their personal project management then you will find this tool to be very useful and somewhat familiar.

Teams that may be used to other project management suites or styles would find Smartsheet a bit challenging to adapt to, as formulas and formatting can be challenging to adapt to.

Smartsheet is a software as a service (SaaS) platform for collaboration and project management. It is used to assign tasks, track project progress, manage calendars, share documents, and manage other work, using a tabular user interface, similar to Microsoft Excel. We use it to manage web builds, app builds, content and social projects.

  • Larger organizations may find it's functionalities a little too simple.
The Smartsheet platform is extremely similar to Microsoft Excel, so if you are familiar with Excel, you will pick Smartsheet up quickly. Even if you aren't Smartsheet has a relatively simple user interface, meaning just about anyone can learn it. One thing to note is that the interface is that some may consider the interface so simple that they feel the need to look for more robust platforms. If you have a small to medium project that needs to be manages in a central hub, Smartsheet would be a great fit. If you have a very large project, I might consider looking into more advanced platforms.

Smartsheet has been fundamental to achieve a group task of project management. Without a doubt, I have been able to obtain a great formality in the simple processes; it has given a systematic projection so that all the departments use it to control the procedures of the tasks. Importantly, it specializes in recording spreadsheets, integrating formulas, which allows utility control for people familiar with the primary information of improving spreadsheets.

Smartsheet is used as a Project Management tool to track the implementation projects in real time. Our employees are able to stay up to date with project timelines while easily sharing the status of a project with our clients. The majority of our company are daily users of Smartsheet which saves time on project task communication.

If you're using Smartsheet as a replacement to Microsoft Project and then Smartsheet is a no brainer. It works great as a tool for Project Managers to effectively manage their team and keep projects on track. If you're in need of reporting and overall dashboards to keep track of more than one project you'll have to upgrade to the much more expense Business License. Wish they were more supportive of their legacy 'Teams' license.

We presently use it for small dataset where constant updates are needed. The form tool helps in establishing correct format for every entry and automation triggers help in approving the submission or reminding people to update some information at a certain period of time.

We use it to integrate it with Power BI to have live dashboard basis information input by users for live tracking.

  • A lot of In-built templates are already there for users help.
  • One can create separate Workspaces and provide access to different people.
  • A nice collaboration tool with controlled access.
  • One can easily check that the row count is significantly less than Excel hence data with significantly less number of observations can be created.
  • If you have created a workspace, you can't give individual access without providing access to the entire workspace. For e.g., I have two files in my workspace, and I want user ABC to have access to the first file and user XYZ to have access to the second file. I can't do that.
  • You cannot attach any item in an automated workflow. The observations go as a table in the body of the email.
  • Real time Multi-user edit is a pain for all collaboration tools and Smartsheet is no exception.

I generally use Smartsheet where I need to work with less data. Generally, for documenting projects or maintaining process trackers. This tool serves really good if you have to remind other teams to input the data at a particular time of the month/week/fortnight or any other frequency. One can create a requisition form so no one has to rely upon Outlook where one can never audit old items. It is more transparent, and the entire world knows what the team is working on.

I used it for some projects, too, because it has Gantt template. Also, managing the team's leaves is a piece of cake with the help of Smartsheet.

I would say, wherever you have to collaborate, and the data is less, you can use it.

Smartsheet was used by our human resource and talent acquisition team to track projects within the department. We had experimented with project management options, including spreadsheets, but none filled the bill. The head of the department reviewed and tested a number of possible solutions and landed on Smartsheet as the best option.
  • Updates in real time.
  • Allows multiple users.
  • It's a little "clunky" when you first start out.
  • The free version soon can soon rendered "obsolete" but that could be viewed as a positive.
If you are just starting out with project management and need something beyond spreadsheets, Smartsheet is a great option as it is very intuitive. Users will quickly see that this is a project management software platform and not something that has been modified to be a project management tool. It's especially good with teams.

Smartsheet is being used by our Operations team's Project Managers to provide a collaborative, transparent plan that both the customer and vendor can execute. Smartsheet solves the gap in communication which is one of the primary reasons projects fail.

Very well suited in the Healthcare environment. Many times healthcare has 'lock downs' on computers and networks due to HIPAA concerns. Therefore, other solutions such as Google Sheets and even Excel isn't an approved solution. I have never run into an issue with our customers using and viewing Smartsheet.

Smartsheet in our organization has been of great benefit in helping us manage our project workload. We have gained more control with Smartsheet saving us time and efforts to ensure nothing is omitted when team members are working to meet the tight deadlines. Speed is always great, but accuracy is everything. Additionally, it has given us a single source of data where we can access and share information across the whole of the organization and with clients. Smartsheet has helped us communicate better and fast but with the accuracy of data in place.

It is used by the entire PMO department (~150 employees) for project planning, timelining, resourcing, etc.
  • Gantt view.
  • Predecessors.
  • Share functionality.
  • Changes in the cloud available to all users.

It's great for timelining, and sharing timelines amongst team members.

We previously used Smartsheet in our department for the purpose of tracking various security audits. I am aware of other teams still using it, we switched to Teamwork about 8 months ago. Smartsheet allowed our team to track different members progress on their routine security audits and also to store and share summary data files.

Smartsheet is great for any project or task management that you need to perform that can be best structured with a spreadsheet style template. It does not have as much functionality with group chat or communication and interface with email or other messaging platforms.

Smartsheets are used to help manage product launches. Since so many teams across the organization are involved in the full product launch process, Smartsheets helps us keep an organized list and status on each item. It keeps us on task, and on time.

If you're looking for a super-powerful spreadsheet, this is for you. There is not a steep learning curve if you are familiar with spreadsheets. We use Smartsheet primarily for creating full project schedules and Gantt charts. We also create project status summaries, key milestone summaries and are looking into the full project management capabilities of it. It is being used for a particular client only at this time but may be useful in broader applications across our studio, and even our company. So far, Smartsheet has been very useful at communicating the full project schedule and breaking down the process into smaller steps, and identifying not only the critical path for the projects but also the interrelationship between tasks. This capability allows us to get on the same page as our client while also maintaining accountability on our end to hit our milestones.
  • Easily creates table schedules with preset column types for different types of information.
  • Generates a Gantt chart from tables with little complication.
  • Exports a clean looking PDF for client presentation and deliverable.
  • Allows filtering of information for easy focusing on certain parameters.
  • Formatting of reports to show Gantts is limited
  • Editing of tables and joining of cells to present data is not always possible.
  • Buttons/options on top, right, left, in pop ups is not always intuitive or user friendly.
Smartsheet is great for: Project schedule management such as creating Gantts with a breakdown of tasks, understanding processes with many steps complexities and interdependencies and creating simple reports

Smartsheet may not be the best suited if you: want similar control and advanced capabilities such as Excel offers, want ultimate control over editing reports and output of information, all users to be licensed, and full ability to create sheets from nothing.

Smarsheet has proven to be the most innovative way to bring teams together for collaboration on projects and processes across the organization. Teams are able to manage diverse types of work [and] core business operations. Smartsheet has tools such as Gantt charts, files sharing and automation features that empower teams to execute and complete projects with speed and accountability.

We use Smartsheets across the whole organization to share information securely and to manage workflow. It instantly keeps everyone up to the minute, and also allows us to identify who made changes and when, and support those changes with attached documentation.
  • Exports to Excel are simple and attractive.
  • The ability to message other users in the same use space is practical.
  • Once dashboards are created, it allows for everything needed on a daily basis to be right at your fingertips.
  • Being able to have multiple Smartsheet pages open at the same time is crucial. Not all programs allow for this.
  • Once a system is in place, it's challenging to change or update something because each instance of that change has to be updated. We have 20 centers, so have to update things 20 times in most instances.
If you regularly have to share confidential information between locations, this is so much better than sending secure/encrypted emails all the time. If you need multi-level management approval for things, this is a great way to submit requests and track approvals.

We are pleased that the Smartsheet platform has so many tools that serve the direct extension of team collaboration, allowing us to stay fully focused on creating reviews and interaction sessions to address each other's work, which ends up creating a network where everyone involved can advise each other so that the work is of the highest possible quality. As far as customer service is concerned, Smartsheet allows us to maintain interactions during business hours, and it remains entirely online, which makes it easy for us to communicate simply by having a stable internet connection. In general, it has a good technical support, with employees well informed about Smartsheet's functions. Being able to count on so many tools, usability within Smartsheet becomes a bit limiting, not because it is difficult to work with, but because it requires a high level of expertise to cover all areas of the project in question, which would normally require several people with different levels of expertise in the areas that Smartsheet allows to deal with.
  • Smartsheet lets us create our own personal level portfolios, so each employee in the project group can present his or her ideas and resume in an organized manner.
  • Has a very extensive collection of templates for different types of dashboards.
  • Can be used to cover project operations that would normally depend on marketing agencies, making it possible to cover project marketing to a certain extent.
  • Lacks some clearly essential functions for working with business processes, such as a mapping system directly to the processes.
  • Workflows cannot be designed and modeled within the platform, which sometimes limits our view of the work.
Because it can be used in teams of various sizes, it has been concluded that Smartsheet is suitable for almost any kind of environment that requires group work. It does not work with certain types of monitoring, such as in treasury areas, or in terms of business process scheduling. It is excellent for agile project development.

We use Smartsheet to solve a number of problems within our division and company as a whole. Everything from event timelines, project manangement, financial reporting and staffing resources. We have streamlined and eliminated a number of manual processes over the past few years, and are constantly finding new ways to use the product.

  • Ease of use
  • Formatting and branding capabilites
  • Some newer functionality is not as intuitive
  • You need to purchase additional "premium" applications in order to use the product to its full potential
Anything that was done on a spreadsheet, word document or similar can be easily transfered to Smartsheet. The area I see that is currently lacking is inventory management solution and some of the premium add-ons could be better.

Smartsheet is being used by my organization on a wide variety of operations. We track our employees' and consultants' time across multiple projects. We track projects' progress with the Dashboard feature. We track and manage all company and consultant invoices. We also store resource contact information, leave/vacation tracking, and track our onboarding process for new employees.
Overall, Smartsheet has helped our business track and manage many different processes throughout our entire organization.
  • Gantt charts for projects with dependencies for project scheduling and management.
  • Security within the organization, including the ability to quickly add someone as a viewer or editor if needed.
  • Conditional formatting provides a clear visual aid of what is going on within each sheet, depending on what you want each rule to do.
  • Better export formatting.
  • The ability to archive easier.
  • Improvement in app functionality.
Smartsheets is helpful for project management and task list tracking. It has robust features and abilities that most professionals are familiar with, plus it has great collaboration features that keep people updated, in the loop, and with access to files they need. It is so easy to collaborate with multiple coworkers on the same sheet and makes working on one document so much easier than other platforms.

We use Smartsheet to support project management within the company, giving access to specific project 'sheets' to the team members involved in its progress. We're able to provide each person the access type that matches their involvement in the project. As well as send them requests for information and updates directly from Smartsheet, which saves time from a management perspective and ensures all necessary info is added to the tool, rather than dispersed across an email. For a company that operates across different office locations, Smartsheet has been our solution to project management challenges that come up due to remote teams needing to work together closely.
  • Easy to use - as it follows the basic set up of Microsoft Excel. You can also upload Excel files to Smartsheet rather than starting a new sheet from scratch, which is very helpful.
  • Reminders and requests can be sent to team members directly from the tool, which is an enormous help and was one of the selling points for our company, specifically in choosing Smartsheet. The reminders/requests go to the team members' email addresses with a link to make the specific update to the required sheet, and once that is completed, the sheet owner is notified that their request has been fulfilled.
  • Smartsheet set up is similar to Excel, yet when you upload an Excel file, things like conditional formatting are lost. Smartsheet has its own conditional formatting, and you have to reinstate the rules. It would be great if those would apply automatically once a file is uploaded
  • Some Smartsheet management and access rules can take some tweaking to work properly. This may be a case of offering more info to admins so they can apply these better and with more efficiency
If you've encountered any issues managing a project with your standard tools, try Smartsheet. It's inexpensive and easy to use. Smartsheet is such a simple tool that I can't think of any situations where it isn't helpful to teams and beneficial overall to companies.
